Definitions
In these Terms and Conditions, the following terms have the meanings set out below.
“Sawtooth Studios Ltd” the company operating The Still Room and Sawtooth, registered in England and Wales under Company No. 16379838, VAT No. GB503520636.
“The Still Room” the space at Suite 9D, Keswick Hall, Keswick, Norwich NR4 6TJ and the programmes, workshops and events delivered directly by Sawtooth Studios Ltd under The Still Room name.
“Sawtooth” the production and artist development activity of Sawtooth Studios Ltd, including ticketed performances, Studio Intensives and Individual Sessions delivered under the Sawtooth name.
“The Snug” a smaller ancillary space within the premises which may be made available as a courtesy to Licensees or their visitors in certain circumstances. The Snug does not form part of any Licence unless expressly included in writing at the time of booking as an add-on to the main space. Where The Snug is not included, access may be granted at the discretion of Sawtooth Studios Ltd on the day.
“Licensee” an organisation, business or individual granted a licence to use The Still Room for their own activity under Part A of these terms.
“Co-working User” an individual who books a co-working seat at The Still Room under Part B of these terms.
“Workshop Participant” an individual who books a place on a Still Room workshop or event organised and delivered directly by Sawtooth Studios Ltd under Part C of these terms.
“Event Attendee” an individual who purchases a ticket for or registers to attend a Still Room or Sawtooth event, including networking events and performances, through Eventbrite or by direct booking.
“Studio Intensive Participant” an individual who books a place on a Sawtooth Studio Intensive under Part E of these terms.
“Session Client” an individual who arranges an Individual Session with Sawtooth Studios Ltd under Part F of these terms.
“Residency Participant” an individual accepted onto a Sawtooth Residency programme. Residency Participants are not governed by these Terms and Conditions; their terms are set out in the separate Sawtooth Residency Terms and Conditions document provided at the point of acceptance.
“Licence” the temporary, personal, non-exclusive permission granted to the Licensee to use The Still Room for the agreed activity during the agreed Licence Period, as described in these terms.
“Licence Period” the date, time and duration agreed for use of the space, as confirmed in writing by Sawtooth Studios Ltd.
“Licence Fee” the fee payable by the Licensee for use of the space during the Licence Period.
“Booking” the act of reserving the space or a place on a programme, workshop, event or session, which becomes confirmed only once the applicable payment conditions have been met and written confirmation has been provided by Sawtooth Studios Ltd or via Eventbrite.
“Facilitator” an independent freelance practitioner engaged by Sawtooth Studios Ltd to deliver a workshop, event or programme. Facilitators are not employees of Sawtooth Studios Ltd and are engaged on a self-employed basis. Each Facilitator is personally responsible for their own professional conduct, insurance, qualifications, tax obligations and compliance with any legal or regulatory requirements applicable to them as independent contractors.
“Named Facilitator” a Facilitator whose name is specified in a programme description or booking confirmation.
“Company” the professional artists and practitioners associated with Sawtooth Studios Ltd and engaged on a freelance basis to deliver Sawtooth productions, Studio Intensives and Individual Sessions. Company members are independent contractors and not employees of Sawtooth Studios Ltd.
“Individual Session” a one-to-one or pair session delivered by a member of the Company, arranged by enquiry and confirmed in writing by Sawtooth Studios Ltd, as further described in Part F.
“Minimum Number” the minimum number of confirmed bookings required for a programme, workshop or Studio Intensive to proceed, as notified at or before the time of booking.
“Waiting List” a list of individuals who have expressed interest in a programme or event that has reached capacity. Inclusion on a Waiting List does not constitute a booking or guarantee a place.
Introduction
The Still Room and Sawtooth are operated by Sawtooth Studios Ltd (Company No. 16379838) from Suite 9D, Keswick Hall, Keswick, Norwich NR4 6TJ.
These Terms and Conditions apply to the following categories of user:
- Licensees: organisations, businesses and individuals who book the space on a licence to use it for their own activity.
- Co-working Users: individuals who book a co-working seat at The Still Room.
- Workshop Participants and Event Attendees: individuals who book places on Still Room workshops, networking events or other events organised and delivered directly by Sawtooth Studios Ltd.
- Sawtooth Ticketed Event Attendees: individuals who purchase tickets for Sawtooth performances or events, including residency showings and Company productions.
- Studio Intensive Participants: individuals who book places on Sawtooth Studio Intensives.
- Session Clients: individuals who arrange Individual Sessions with Sawtooth Studios Ltd.
Sawtooth Residency Participants are not covered by these Terms and Conditions. Residency participants receive a separate Residency Terms and Conditions document at the point of acceptance.
The General Terms set out below apply to all users. Where terms apply only to a specific category, this is indicated in the relevant Part. By confirming a booking, purchasing a ticket or registering for any programme, event or session, the user agrees to the terms applicable to them.
All provision delivered directly by Sawtooth Studios Ltd under The Still Room and Sawtooth names is intended for adults aged 18 and over. Sawtooth Studios Ltd does not provide services to individuals under the age of 18 in any capacity. All attendees at Still Room and Sawtooth events must be aged 18 and over unless the event description specifically states otherwise. Independent practitioners may, from time to time, work from the space under their own independent arrangements and may offer services to young people entirely separately from and without any involvement of Sawtooth Studios Ltd. Sawtooth Studios Ltd accepts no responsibility for and has no involvement in those arrangements. Where activities involving individuals under the age of 18 are delivered by external Licensees, the organiser of that activity is solely responsible for all supervision, safeguarding and legal requirements relating to those participants.
General Terms
The clauses in this section apply to all users of The Still Room and Sawtooth, regardless of the nature of their booking or engagement.
VAT
Sawtooth Studios Ltd is registered for VAT under registration number GB503520636. Unless stated otherwise, all fees and charges are inclusive of VAT at the prevailing rate. Where a fee is stated as excluding VAT, VAT will be added at the prevailing rate and shown separately on invoices.
Payments and Invoicing
Fees for space bookings, Studio Intensives and Individual Sessions are invoiced by Sawtooth Studios Ltd via QuickBooks. Invoices are due for payment within the period stated on the invoice unless otherwise agreed in writing. Where payment is not received by the due date, Sawtooth Studios Ltd reserves the right to cancel or suspend the booking and to pursue recovery of outstanding amounts. Fees for co-working and ticketed events are collected through Eventbrite at the time of booking. Accepted payment methods will be confirmed at the time of invoicing or booking. Sawtooth Studios Ltd is not responsible for payment failures arising from errors made by the payer or from the operation of third party payment systems.
Non-attendance
Where a user fails to attend a confirmed booking, session, workshop or event without giving prior notice, this will be treated as a cancellation with no notice. No refund, credit or transfer will be issued. The applicable fee will be forfeited in full.
Third Party Platforms
Sawtooth Studios Ltd uses Eventbrite as its ticketing and event registration platform for ticketed events and co-working bookings. Ticket purchases made through Eventbrite are subject to Eventbrite’s own terms and conditions in addition to these terms. Sawtooth Studios Ltd is not responsible for Eventbrite’s platform, any fees charged by Eventbrite to the purchaser, or any failure of Eventbrite’s payment or booking systems. Where a dispute arises concerning a refund, Sawtooth Studios Ltd’s cancellation and refund terms govern the entitlement to a refund in respect of the event itself; Eventbrite’s terms govern the mechanics of the payment transaction. These Terms and Conditions are linked from all relevant Eventbrite event listings.
Sawtooth Studios Ltd uses other third party platforms and services in connection with its operations, including for email marketing, accounting and communications. Each third party platform operates under its own terms and privacy policy. Sawtooth Studios Ltd is not responsible for the operation, availability or data practices of those platforms.
Email Marketing and Newsletter
Sawtooth Studios Ltd operates a mailing list for news, programme announcements and updates. Subscription to the mailing list is voluntary and separate from any booking. Completion of a booking does not constitute consent to marketing communications. Where a booking form or registration includes an option to join the mailing list, this is an optional and separate opt-in. Subscribers may unsubscribe at any time using the link included in every marketing email. Email marketing is managed via a third party platform. Subscriber data is processed in accordance with that platform’s data processing terms and the Sawtooth Studios Ltd Privacy Policy, available at www.thestillroom-norwich.co.uk.
Photography, Recording and Documentation
The default position at all Still Room and Sawtooth events, workshops, sessions and performances is that photography, audio recording and video recording by attendees are not permitted without prior written agreement from Sawtooth Studios Ltd. Where an event description states that photography or social media sharing is permitted or encouraged, that permission applies only to the extent and in the manner described.
Recording of Sawtooth performances by audience members is not permitted under any circumstances.
Sawtooth Studios Ltd may from time to time record or photograph sessions, workshops or events for archival, research or promotional purposes. Where such recording takes place, attendees will be informed in advance and, where required by applicable data protection law, separate consent or an appropriate lawful basis for processing will be obtained.
Intellectual Property
Materials, content, programme structures, session frameworks, methodologies and any other resources developed and shared by Sawtooth Studios Ltd, the Company or Facilitators during programmes, workshops, events or sessions remain the intellectual property of their respective originators. Users must not reproduce, distribute or use such materials for commercial purposes without prior written permission.
Users must not replicate or commercially exploit materials, exercises, frameworks or content encountered during Sawtooth Studios Ltd programmes or sessions as the basis for activities delivered by the user to third parties, whether for payment or otherwise, without prior written agreement from Sawtooth Studios Ltd. This restriction applies to identifiable programme content and does not prevent users from developing their own independent creative work.
Where external speakers or panellists present at networking events or other events, their content remains their own intellectual property. Attendees must not reproduce, distribute or commercially exploit content presented by external speakers without the speaker’s prior consent.
Health and Safety
The Still Room is a working studio and meeting environment. All users are responsible for taking reasonable care for their own safety and the safety of others. Floors and circulation areas must remain clear of hazards at all times. Any spillages must be cleaned promptly. The space contains rugs and floor coverings; users should take care and report any rug that appears displaced or presents a trip hazard.
The building includes stairways and bannisters overlooking the entrance hall; users must not lean, climb, sit on or place equipment over bannisters or railings. The windows in The Still Room open wide. Users should take care when near open windows or when using the window seats. No equipment, bags or personal items should be placed on windowsills or leaned against open windows.
Mobile phone signal within the building may be limited. Users should ensure they have a means of contacting emergency services if required, including access to Wi-Fi calling. A defibrillator is available within Keswick Hall inside the ground floor front door near the main entrance; its presence does not replace the need to call emergency services immediately in the event of a medical emergency. Any accidents, injuries or incidents must be reported to Sawtooth Studios Ltd as soon as reasonably practicable, regardless of whether the incident is considered minor at the time.
Fire Safety
All users must familiarise themselves with fire exits and evacuation procedures on arrival. Emergency exits, corridors and access routes must remain clear at all times. In the event of a fire alarm, lifts must not be used.
Lone Working
Where a Licensee or their representative is working in the building in the evening or at other times when the building is otherwise unoccupied, Sawtooth Studios Ltd recommends connecting to the building Wi-Fi on arrival, informing a trusted person of their location and expected departure time, and notifying that person when they have left the building. The lift at Keswick Hall is fitted with an emergency button. Where possible, lone workers are advised to use the stairs in the evening. Responsibility for personal safety rests with the individual. Sawtooth Studios Ltd is not liable for the personal safety of any user except where loss or injury arises directly from its own negligence.
Food, Hot Drinks and Allergens
Hot drinks and simple food may be prepared or consumed within the space. Kitchen and food preparation areas must be left clean and tidy after use. The Still Room is not an allergen-free environment. Sawtooth Studios Ltd cannot guarantee that the space, kitchen or equipment has not been in contact with allergens, including but not limited to nuts, dairy or gluten. The space is also not dust-free and may not be suitable for users with respiratory conditions without appropriate precautions. Where food or drink is prepared, served or consumed as part of an activity, the organiser is responsible for ensuring appropriate food safety and allergen information is communicated to participants. Sawtooth Studios Ltd does not accept responsibility for any allergic reaction, respiratory episode or other medical event arising from use of the space, kitchen or equipment.
Safeguarding
Where activities involve children, young people or vulnerable adults, the organiser is responsible for ensuring that appropriate safeguarding procedures, supervision and DBS checks are in place before the activity begins. Sawtooth Studios Ltd does not supervise activities delivered by external Licensees and does not assume safeguarding responsibility for participants attending those activities.

Age Requirements and Accompanying Adults
Unless otherwise stated, events organised and promoted by The Still Room are open to attendees aged 18 and over. Where an event is open to younger attendees, the minimum age will be clearly stated at the point of booking.
Attendees aged 14 and 15 must be accompanied by a parent or legal guardian for the full duration of the session. The accompanying adult must remain on the premises throughout and retains full responsibility for the young person. Attendees aged 16 and over may attend unaccompanied.
Where a ticket is purchased for an attendee aged 14 or 15, the purchaser confirms that they are the parent or legal guardian of that attendee, or that a parent or legal guardian has agreed to accompany them for the full duration of the session. The Still Room reserves the right to refuse entry to an unaccompanied attendee aged 14 or 15 where the accompanying adult requirement was clearly stated at the point of booking. No refund will be issued in these circumstances.
Equality and Conduct
The Still Room and Sawtooth operate as respectful and inclusive environments. All users are expected to conduct themselves in a manner consistent with the Equality, Diversity and Inclusion Policy, available at www.thestillroom-norwich.co.uk. Discriminatory, harassing or abusive behaviour will not be tolerated. Sawtooth Studios Ltd reserves the right to terminate a Licence or exclude any user where behaviour is considered unsafe or inconsistent with the policies of the venue. In such cases, no refund or credit will be issued.
Accessibility
Sawtooth Studios Ltd is committed to making its space, programmes and events accessible. The Accessibility Statement for The Still Room is available at www.thestillroom-norwich.co.uk. Reasonable adjustments are considered on request. Users with specific access requirements are encouraged to contact Sawtooth Studios Ltd in advance of their booking or visit.
Data Protection and Retention
Personal data collected in connection with bookings, programme registrations, co-working sessions, event attendance and Individual Sessions is handled in accordance with UK data protection law and the Privacy Policy of Sawtooth Studios Ltd, available at www.thestillroom-norwich.co.uk. Booking and session data is retained in accordance with the Privacy Policy. Users have rights of access, rectification, erasure and other rights under UK GDPR, details of which are set out in the Privacy Policy. Where personal data is processed for the purpose of administering a booking, registration or session, the lawful basis for that processing is the performance of a contract between the user and Sawtooth Studios Ltd under Article 6(1)(b) UK GDPR. Where personal data is processed for any other purpose, the applicable lawful basis is set out in the Privacy Policy.
Complaints
Sawtooth Studios Ltd is committed to handling complaints fairly and promptly. The Complaints Procedure is available at www.thestillroom-norwich.co.uk. In the first instance, complaints should be directed to info@thestillroom-norwich.co.uk.
Waiting Lists
Where a programme, workshop or event is fully booked, Sawtooth Studios Ltd may operate a waiting list. Inclusion on a Waiting List does not constitute a booking or guarantee a place. A place is confirmed only when capacity becomes available, payment has been received and written confirmation has been issued by Sawtooth Studios Ltd or via Eventbrite.
Keswick Hall and Building Infrastructure
The Still Room operates as a tenant within Keswick Hall, Norwich. Internet services and building infrastructure, including heating, lifts and shared facilities, are provided or managed by the building operator. Sawtooth Studios Ltd does not manage or control the building infrastructure and cannot guarantee uninterrupted access to or availability of building services. Sawtooth Studios Ltd is not liable for any disruption, loss or inconvenience caused by matters within the control of the building operator or arising from shared building infrastructure.
Facilitators and Company Members as Independent Contractors
Facilitators and Company members engaged to deliver workshops, programmes, Studio Intensives and Individual Sessions are self-employed independent contractors. They are not employees, agents or partners of Sawtooth Studios Ltd. Each Facilitator and Company member is personally responsible for their own professional conduct, qualifications, insurance, tax obligations and compliance with any legal or regulatory requirements applicable to them as independent practitioners. Sawtooth Studios Ltd does not accept liability for acts or omissions of Facilitators or Company members that fall within their personal professional responsibilities.
Indemnity
Each Licensee agrees to indemnify and hold harmless Sawtooth Studios Ltd against all claims, liabilities, losses, costs and expenses (including reasonable legal costs) arising from or in connection with the Licensee’s use of the space, the conduct of the Licensee or their participants or guests, or any breach of these terms by the Licensee, except to the extent that such loss arises from the negligence of Sawtooth Studios Ltd. Workshop Participants, Event Attendees, Studio Intensive Participants and Session Clients accept responsibility for any loss or damage to the premises or to third parties arising from their own conduct or the conduct of any person they bring to the premises.
Force Majeure
Sawtooth Studios Ltd shall not be liable for any failure or delay in performing its obligations under these terms where such failure or delay results from circumstances beyond its reasonable control, including acts of God, fire, flood, severe weather, power failure, building damage, government action, public health restrictions, disruption to building infrastructure at Keswick Hall, or other events outside its reasonable control. Force majeure does not excuse a user from their payment obligations under these terms unless Sawtooth Studios Ltd is itself unable to deliver the relevant session, programme or event as a direct result of the same circumstances.
Where force majeure circumstances occur, Sawtooth Studios Ltd will make reasonable efforts to notify affected parties and, where possible, rearrange the booking or programme. Where this is not possible, fees paid for the affected period will be refunded. Sawtooth Studios Ltd shall not be liable for any travel, accommodation, subsistence or other costs incurred by users in connection with a booking or programme that is cancelled, rescheduled or disrupted by reason of force majeure.
Liability
Nothing in these terms excludes or limits liability where such liability cannot be excluded under applicable law, including liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation. To the fullest extent permitted by law, Sawtooth Studios Ltd’s total liability to any user in connection with these terms shall not exceed the total fees paid by that person in respect of the relevant booking, programme or session.
Consumer Cancellation Rights
Where a user books a service online, UK consumer law may provide a 14-day right to cancel from the date of booking. However, where the service is to begin within that 14-day period, or where the user expressly requests that the service begin before the end of the cancellation period, the right to cancel is waived once the service begins or the user confirms that they wish it to begin. By completing a booking for a session, workshop, event or programme scheduled to take place within 14 days of the booking date, or by expressly requesting that the service begin before the end of the cancellation period, the user agrees to waive their statutory cancellation rights in respect of that booking. Refunds and credits in such cases are governed by the cancellation terms applicable to the relevant Part of these conditions.
Variation of These Terms
Sawtooth Studios Ltd reserves the right to update or vary these Terms and Conditions from time to time. The version of these terms in force at the date of a booking applies to that booking. The current version is always available at www.thestillroom-norwich.co.uk. Users are encouraged to review these terms before each booking.
Notices
Any written notice required or permitted under these terms may be given by email to the addresses provided in this document or in the relevant booking confirmation. Notices sent by email are deemed received on the next business day following transmission, provided no delivery failure notification is received. Sawtooth Studios Ltd’s email address for notices is info@thestillroom-norwich.co.uk. Users should ensure that correspondence from Sawtooth Studios Ltd is not filtered as spam.
Disputes
In the event of a dispute, both parties agree to attempt to resolve the matter informally in the first instance by contacting Sawtooth Studios Ltd using the contact details provided in this document. If the matter cannot be resolved informally, either party may pursue such legal remedies as are available to them under applicable law.
Entire Agreement
These Terms and Conditions constitute the entire agreement between Sawtooth Studios Ltd and the relevant user in respect of the use of the space, participation in a programme or event, or use of any service offered by Sawtooth Studios Ltd. They supersede all previous representations, understandings or agreements. No variation to these terms is effective unless agreed in writing by Sawtooth Studios Ltd, except as provided in the Variation of These Terms clause above.
Severability
If any provision of these terms is found to be invalid, unlawful or unenforceable, that provision shall be deemed severed from the remaining terms, which shall continue in full force and effect.
Governing Law
These Terms and Conditions are governed by the laws of England and Wales. Any disputes arising under or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Policy Review
These Terms and Conditions will be reviewed annually and updated where operational, legal or organisational changes require it. The current version is always available at www.thestillroom-norwich.co.uk.
Part A: The Still Room Space Bookings
This Part applies to organisations, businesses and individuals who book The Still Room on a licence for their own activity.
Nature of the Agreement
A confirmed booking grants the Licensee a temporary, personal, non-exclusive licence to use The Still Room for the agreed activity during the agreed Licence Period only. This agreement is a licence and nothing more. It does not create, and shall not be construed as creating, a tenancy, lease, sublease, easement or any other interest in land or right of exclusive possession of the premises or any part of them. The Licensee has no security of tenure and no right to remain in the premises beyond the agreed Licence Period. Sawtooth Studios Ltd retains full control, management and possession of the premises at all times. The Licence is personal to the Licensee and may not be assigned, transferred or sub-licensed to any third party without prior written consent.
Licence Fees
Licence fees and rates are published on www.thestillroom-norwich.co.uk and are current at the time of booking. Rates are subject to change and will be confirmed at the point of enquiry and booking. Set-up and close-down time must be included within the booked Licence Period and does not reduce the chargeable period.
Bookings
All bookings must be agreed in advance with Sawtooth Studios Ltd. A booking is confirmed only once the applicable payment conditions have been met and written confirmation has been provided. Sawtooth Studios Ltd reserves the right to decline a booking where the proposed use is considered unsuitable or inconsistent with the safe and appropriate operation of the venue, without being required to give reasons. Any change to the agreed activity or Licence Period must be agreed in writing in advance.
Payment and Deposits
For bookings with a total Licence Fee of £250 (excluding VAT) or less, full payment is required at the time of booking. For bookings exceeding £250 (excluding VAT), a non-refundable deposit of 50% is required to secure the booking, with the balance due no later than 14 days before the Licence Period start date. Where a booking is made within 14 days of the start date, full payment is required at the time of booking. Where the balance is not received by the due date, Sawtooth Studios Ltd reserves the right to treat the booking as cancelled and forfeit the deposit.
Cancellation and Rescheduling by the Licensee
Sawtooth Studios Ltd does not offer cash refunds for cancelled Licences, except where cancellation is made by Sawtooth Studios Ltd for reasons within its control. Where a Licensee cancels with more than seven days’ notice before the start of the Licence Period, a credit to the value of any balance paid (excluding any non-refundable deposit) will be issued, valid for six months from the date of issue. Where a Licensee cancels with seven days’ notice or less, all sums paid are forfeited. Non-refundable deposits cannot be credited or transferred regardless of notice given. Rescheduling requests made with more than seven days’ notice are considered at the discretion of Sawtooth Studios Ltd, subject to availability.
Cancellation by Sawtooth Studios Ltd
Sawtooth Studios Ltd reserves the right to cancel or terminate a Licence where the Licensee has not complied with these terms, where the activity is considered unsafe or inappropriate, or where circumstances beyond its reasonable control prevent the Licence from proceeding. Where Sawtooth Studios Ltd cancels for reasons within its control, all sums paid including any deposit will be refunded or credited in full at the Licensee’s preference.
Licence Period
The Licence Period covers the full time booked, including all set-up, preparation, activity, clearing and closedown. The space must be vacated promptly at the end of the agreed Licence Period unless an extension has been agreed in advance in writing. Additional time used beyond the agreed period may be charged at the applicable hourly rate.
Key Responsibilities of the Licensee
By confirming a booking, the Licensee agrees to:
- ensure their activity is conducted safely and appropriately within the space
- supervise participants attending their activity throughout the Licence Period
- ensure that any third parties attending as visitors of the Licensee, including parents, guardians or accompanying individuals, are the responsibility of the Licensee for the duration of their presence
- be aware that Sawtooth Studios Ltd holds a Hirers’ Public Liability Extension under its Ansvar Insurance policy which provides public liability cover of £2 million per claim for licensees using the premises, subject to the terms and exclusions of that extension. A copy of the Hirers’ Public Liability Summary of Cover is available on request. The extension does not cover: commercial organisations using the premises for business activities; bodily injury to a licensee’s own employees or volunteers; the provision of professional services, advice, counselling or treatment of any kind; or certain specified activities (details available on request). Licensees falling into any of these categories must hold their own public liability insurance with a minimum cover of £2 million per occurrence and must provide evidence of that insurance to Sawtooth Studios Ltd before their first session and at each point of annual renewal. All licensees are advised to consider whether the extension is sufficient for their specific activity and to seek independent insurance advice if in doubt.
- Booking records. Sawtooth Studios Ltd maintains a record of all premises licences as a condition of its insurance arrangements. By confirming a booking, the licensee consents to their name, organisation, booking date and activity being recorded for this purpose. These records are held in accordance with the Privacy Policy.
- ensure appropriate safeguarding procedures are in place where required
- ensure appropriate personal accident cover is in place for participants where the activity involves physical risk
- ensure the space is used respectfully and in accordance with building rules
- return furniture and equipment to its original position using the reference photographs provided in the space
- ensure shared areas including toilets and kitchen facilities are left clean and tidy
- ensure washing up is completed before leaving the building
- ensure the dishwasher is not left running unattended when vacating the building
- ensure doors, windows and lights are secured or switched off where required on leaving
- ensure all set-up, preparation and closedown takes place within the agreed Licence Period
Use of the Space
The Licensee must use the space only for the purpose agreed at the time of booking. Activities must not cause disturbance to other occupants of the building or neighbouring properties. The maximum occupancy of the space must not be exceeded at any time during the Licence Period. Events must not be advertised as public events at The Still Room without prior written agreement. Tickets may not be sold for events without the appropriate licences and prior written agreement. Activities involving elevated risk, specialised equipment, rigging, aerial work, martial arts or similar must not take place without prior written agreement. Sawtooth Studios Ltd may require a written risk assessment before confirming a booking where the nature of the activity carries elevated risk.
The Snug
The Snug does not form part of any Licence unless expressly included in writing at the time of booking. Where The Snug is not included, access may be granted at the discretion of Sawtooth Studios Ltd or made available for separate hire. No right of access or use is implied. Sawtooth Studios Ltd may withdraw access to The Snug at any time on reasonable notice, or immediately where necessary. The Licensee is responsible for the conduct and safety of any visitors using The Snug during any period of access granted under a Licence.
Termination During the Licence Period
Sawtooth Studios Ltd reserves the right to terminate the Licence and require the Licensee and all participants to vacate the premises immediately where the Licensee is in breach of these terms, the activity is considered unsafe or inappropriate, the behaviour of any person is considered unacceptable, or the Licence Period has expired and the space has not been vacated. In such cases, no refund or credit will be issued. The Licensee remains liable for any costs arising from the breach.
Damage and Loss
The Licensee is responsible for any damage to the space, fixtures, fittings, equipment or building arising during the Licence Period. Any damage must be reported to Sawtooth Studios Ltd before the end of the Licence Period where apparent. Sawtooth Studios Ltd reserves the right to recover all reasonable costs associated with repair, replacement or cleaning resulting from damage or excessive soiling. Participants are responsible for their own personal belongings. Sawtooth Studios Ltd accepts no responsibility for loss, theft or damage to personal items.
Part B: The Still Room Co-working
This Part applies to individuals booking a co-working seat at The Still Room. Co-working is available on selected weekdays. Current days, rates and availability are published at www.thestillroom-norwich.co.uk and are subject to change. Bookings are made and fees collected through Eventbrite.
Booking and Payment
Co-working seats must be booked in advance through Eventbrite. Full payment is required at the time of booking to confirm a seat. A seat is not confirmed until payment has been received in full.
Cancellation
Co-working bookings are non-refundable. Where a co-working user is unable to attend on a booked day, they may request a transfer to an alternative available date, subject to availability, provided that written notice is given no later than 48 hours before the booked date. Transfer requests received less than 48 hours before the booked date cannot be accommodated and the fee will be forfeited. Non-attendance without notice will be treated as a cancellation with no notice and the fee will be forfeited in full.
Use of the Space
Co-working is provided on a shared basis. The Still Room is a quiet, focused working environment and co-working users are expected to conduct themselves accordingly. Calls and conversations should be kept to a minimum and must not disturb other users. Headphones should be used for audio content. Co-working users may use the kitchen facilities, including the tea and coffee machine. A honesty payment system is in place for refreshments. Kitchen areas must be left clean and tidy after use. Co-working users must not use the space for activities inconsistent with a quiet working environment, including coaching, tutoring, client-facing meetings or any activity that would disturb other users, without prior written agreement. Seating and desk space is available on a first-come basis within the booked session. Sawtooth Studios Ltd does not guarantee a specific seat or area.
Personal Belongings and Equipment
Co-working users are responsible for their own personal belongings and equipment. Sawtooth Studios Ltd accepts no responsibility for loss, theft or damage to personal items or equipment. Co-working users must not leave personal belongings unattended in the space.
Part C: The Still Room Workshops and Events
This Part applies to individuals booking places on Still Room workshops, networking events and other events organised and delivered directly by Sawtooth Studios Ltd under The Still Room name. This includes the in-house workshop programme and hosted networking events such as business breakfasts and similar gatherings. Ticketed events are booked through Eventbrite, where these Terms and Conditions are linked. Direct bookings are subject to the same terms.
Booking and Payment
Places on Still Room workshops and events may be booked through Eventbrite or by direct contact with Sawtooth Studios Ltd. A place is not confirmed until the required payment has been received and written confirmation has been issued or a booking confirmation received from Eventbrite. All fees are inclusive of VAT unless stated otherwise.
Minimum Numbers
Still Room workshops run subject to a Minimum Number of confirmed bookings. The Minimum Number will be stated in the event description or communicated at the time of booking. Where a Minimum Number is not reached, Sawtooth Studios Ltd reserves the right to cancel or reschedule the event. In such cases, participants will be offered a transfer to an alternative date or a full refund of the booking fee paid. Sawtooth Studios Ltd is not liable for travel, accommodation or other costs incurred in connection with a cancelled or rescheduled event.
Cancellation and Transfer by Participants
Sawtooth Studios Ltd does not offer refunds for participant cancellations except as stated in these terms. Where a participant is unable to attend, they may request a transfer to a future date of the same or equivalent event, subject to availability, provided written notice is given no later than 48 hours before the start of the event. Transfer requests received less than 48 hours before the event cannot be accommodated and the booking fee will be forfeited. Non-attendance without notice will be treated as a cancellation with no notice and the fee will be forfeited in full. Places may not be transferred to another individual without prior written agreement from Sawtooth Studios Ltd.
Cancellation by Sawtooth Studios Ltd
Sawtooth Studios Ltd reserves the right to cancel or reschedule a workshop or event where participant numbers are insufficient, where circumstances beyond its reasonable control prevent delivery, or for any other operational reason. Where Sawtooth Studios Ltd cancels for reasons within its control, participants will be offered a transfer to an alternative date or a full refund of the booking fee paid. Sawtooth Studios Ltd is not liable for travel, accommodation or other costs incurred in connection with a cancelled or rescheduled event.
Facilitators
Still Room workshops are delivered by Facilitators identified by Sawtooth Studios Ltd. Facilitators are engaged as independent contractors and are not employees of Sawtooth Studios Ltd. Each Facilitator is personally responsible for their own professional conduct, qualifications and insurance. Where a Named Facilitator is identified in the event description, Sawtooth Studios Ltd will make reasonable efforts to ensure that Facilitator delivers the workshop as described. Sawtooth Studios Ltd reserves the right to substitute a Named Facilitator where necessary. Participants will be notified of any substitution as soon as reasonably practicable. Where a suitable substitution cannot be made and the event cannot proceed as described, participants will be offered a transfer to an alternative date or a full refund.
Networking Events
For hosted networking events, attendees are responsible for their own conduct and for any representations made to other attendees. Sawtooth Studios Ltd is not responsible for the conduct, representations or professional standing of attendees or any external speakers or panellists. Where third party speakers or panellists participate, their contribution is their own and does not represent the views or position of Sawtooth Studios Ltd.
Attendee lists will not be shared between attendees without prior consent unless this is expressly stated in the event description. Where an event description confirms that an attendee list will be shared, attendance at the event constitutes consent to inclusion on that list.
Participant Conduct
Participants are expected to engage respectfully with Facilitators, speakers and other attendees throughout. Sawtooth Studios Ltd reserves the right to exclude a participant where their conduct is reasonably considered disruptive, unsafe, abusive or otherwise materially inappropriate. Where a participant is excluded, no refund or transfer will be issued.
Physical Activity and Wellbeing
Some workshops may involve physical movement, voice work or other activities that carry a degree of physical or emotional engagement. Participants are responsible for assessing their own suitability and readiness to take part. Sawtooth Studios Ltd does not provide medical, psychological or fitness assessment of participants. Participation is voluntary. Participants take part at their own risk. Sawtooth Studios Ltd shall not be liable for any injury arising from participation except to the extent caused by its own negligence.
Part D: Sawtooth Ticketed Performances
This Part applies to individuals purchasing tickets for Sawtooth performances and events, including residency showings and Company productions. Tickets are sold through Eventbrite. These Terms and Conditions are linked from all Sawtooth event listings on Eventbrite. By completing a ticket purchase, the buyer confirms they have read and agree to these terms.
Ticket Purchase and Confirmation
Tickets are purchased through Eventbrite. A ticket purchase is confirmed once payment has been processed and a booking confirmation received from Eventbrite. Tickets are personal to the purchaser and may not be resold or transferred for commercial gain. Sawtooth Studios Ltd reserves the right to cancel tickets obtained in breach of this condition without refund.
Venue and Licensing
Sawtooth performances may take place at The Still Room or at third party venues. Where performances take place at third party venues, the terms and conditions of that venue may also apply. Entry is subject to compliance with any conditions of the relevant venue. Performances involving licensable activities are subject to the appropriate premises or event licences being in place. Where a performance cannot proceed due to licensing requirements not being met for reasons outside Sawtooth Studios Ltd’s control, Sawtooth Studios Ltd will make reasonable efforts to reschedule and will offer ticket holders a transfer or refund where rescheduling is not possible.
Cancellation, Rescheduling and Refunds
Where a Sawtooth performance is cancelled by Sawtooth Studios Ltd for reasons within its control, ticket holders will be offered a refund of the ticket price paid or a transfer to an alternative date where available. Where a performance is rescheduled, ticket holders will be notified and offered a transfer to the rescheduled date or a refund. Tickets are non-refundable where a ticket holder is unable to attend, unless a cancellation is made by Sawtooth Studios Ltd. Sawtooth Studios Ltd is not liable for travel, accommodation or other costs incurred in connection with a cancelled or rescheduled performance.
Recording at Performances
Recording of Sawtooth performances by audience members is not permitted under any circumstances, including by mobile phone, camera or any other device. This applies to audio and video recording. Sawtooth Studios Ltd and any third party venue reserve the right to remove any person found recording a performance without permission.
Conduct at Performances
Ticket holders are expected to conduct themselves appropriately at all Sawtooth performances and events. Sawtooth Studios Ltd and any third party venue reserve the right to refuse entry to or remove any person whose conduct is considered inappropriate, disruptive or unsafe. In such cases, no refund will be issued.
Part E: Sawtooth Studio Intensives
This Part applies to individuals booking places on Sawtooth Studio Intensives. Studio Intensives are structured group programmes delivered by members of the Company over a defined term. They are available to adults aged 18 and over only. Places on Studio Intensives are invoiced directly by Sawtooth Studios Ltd.
Selection and Booking
Some Studio Intensives involve a selection or application process prior to any offer being made. Where a selection process applies, this will be stated in the programme description. A place is not confirmed until the required payment has been received and written confirmation has been issued by Sawtooth Studios Ltd.
Payment
Studio Intensive fees are invoiced by Sawtooth Studios Ltd. Payment terms will be confirmed at the time of booking. All fees are inclusive of VAT unless stated otherwise. Where a payment plan is agreed, the place remains subject to continued payment in accordance with the agreed schedule. Sawtooth Studios Ltd reserves the right to withdraw a place where payment terms are not met.
Minimum Numbers
Studio Intensives run subject to a Minimum Number of confirmed bookings. Where a Minimum Number is not reached, Sawtooth Studios Ltd reserves the right to cancel or reschedule. In such cases, participants will be offered a transfer to an alternative date or a full refund of the amount paid. Sawtooth Studios Ltd is not liable for travel, accommodation or other costs incurred in connection with a cancelled or rescheduled Intensive.
Cancellation and Transfer by Participants
Sawtooth Studios Ltd does not offer refunds for participant cancellations. Where a participant is unable to attend a Studio Intensive, they may request a transfer to a future Studio Intensive of equivalent content, subject to availability, provided that written notice is given no later than 48 hours before the start of the first session of the Intensive. Transfer requests received less than 48 hours before the start cannot be accommodated and the fee will be forfeited. Non-attendance without notice will be treated as a cancellation with no notice and the fee will be forfeited in full. Places may not be transferred to another individual without prior written agreement.
Part-completion
Where a participant attends some sessions of a Studio Intensive and subsequently withdraws or is unable to continue, no refund or credit will be issued in respect of the remaining sessions unless Sawtooth Studios Ltd agrees otherwise in writing. Sawtooth Studios Ltd may, at its discretion, offer a partial credit toward a future Studio Intensive in exceptional circumstances.
Cancellation by Sawtooth Studios Ltd
Sawtooth Studios Ltd reserves the right to cancel or reschedule a Studio Intensive where participant numbers are insufficient, where circumstances beyond its reasonable control prevent delivery, or for any other operational reason. Studio Intensives are delivered by members of the Company identified by Sawtooth Studios Ltd. Company members are engaged as independent contractors and are not employees of Sawtooth Studios Ltd. Where a Named Facilitator is identified in the programme description, Sawtooth Studios Ltd will make reasonable efforts to ensure that person delivers the Intensive as described. Sawtooth Studios Ltd reserves the right to substitute a Named Facilitator where necessary. Participants will be notified as soon as reasonably practicable. Where substitution is not possible and the Intensive cannot proceed as described, participants will be offered a transfer or a full refund.
Participant Conduct
Participants are expected to engage respectfully with Company members and other participants throughout. Sawtooth Studios Ltd reserves the right to exclude a participant where their conduct is considered disruptive, unsafe, abusive or otherwise materially inappropriate. Where a participant is excluded, no refund or transfer will be issued.
Confidentiality
Work shared by participants during a Studio Intensive is shared in confidence. Participants must not disclose, reproduce or discuss the creative or personal work of other participants outside the programme without their consent.
Part F: Sawtooth Individual and Pair Sessions
This Part applies to individuals arranging Individual Sessions with Sawtooth Studios Ltd. Individual Sessions are one-to-one or pair sessions delivered by a member of the Company toward a client-specified goal, including audition preparation, drama school applications, acting and singing coaching, or focused development of a particular piece or project. Individual Sessions are available to adults aged 18 and over only. Sessions are held at The Still Room, Norwich. Fees are invoiced directly by Sawtooth Studios Ltd.
Arrangement of Sessions
Individual Sessions are arranged by direct enquiry only and are not available through self-service booking. A session is not confirmed until the session structure, fee and date have been agreed in writing by Sawtooth Studios Ltd and full payment has been received. Sawtooth Studios Ltd will identify the most appropriate member of the Company for each engagement based on the client’s stated goals and requirements. No guarantee is made that a specific practitioner will be available or allocated.
Pair Sessions
Where a pair session is arranged, the Session Client is responsible for ensuring that the second participant is aware of and has agreed to the terms applicable to Individual Sessions under this Part. The Session Client is the contracting party with Sawtooth Studios Ltd. Both participants in a pair session are bound by these terms and are expected to conduct themselves accordingly. Sawtooth Studios Ltd reserves the right to decline to accommodate a second participant where it considers this appropriate.
Fees and Payment
Session fees are confirmed in writing at the time of arrangement. All fees are inclusive of VAT at the prevailing rate unless stated otherwise. Current session rates are available on request and are subject to change. Full payment is required before the first session takes place. Where a block of sessions is agreed, full payment for the block is required before the first session. Fees are non-refundable except as set out in the cancellation clauses below.
Cancellation and Rescheduling by the Session Client
Individual Sessions are non-refundable once confirmed. Where a Session Client gives more than 48 hours’ written notice before the start of a session, the session may be rescheduled subject to the availability of the allocated practitioner. Rescheduling is not guaranteed and is at the discretion of Sawtooth Studios Ltd. Where notice of cancellation or a rescheduling request is given with 48 hours or less before the start of the session, the session fee will be forfeited in full. Non-attendance without notice will be treated as a cancellation with no notice and the session fee will be forfeited in full.
Cancellation by Sawtooth Studios Ltd
Where a confirmed session cannot proceed due to the unavailability of the allocated practitioner, Sawtooth Studios Ltd will offer the Session Client a choice of rescheduling to an agreed alternative date or a full refund of the fee paid for that session. Where a suitable substitute practitioner is available and the Session Client agrees, the session may proceed with an alternative member of the Company. Sawtooth Studios Ltd is not liable for any travel, accommodation or other costs incurred by the Session Client in connection with a session that is cancelled or rescheduled.
Nature of the Service
Individual Sessions are professional development sessions. They do not constitute a guarantee of any particular outcome, including admission to a drama school, success in an audition or examination, or any other result. Sawtooth Studios Ltd makes no representation as to the outcome of any application, audition or examination undertaken following a session. Individual Sessions do not constitute a therapeutic, medical or psychological service. Session Clients with health conditions that may be relevant to the activity are responsible for seeking appropriate professional advice before participating.
Confidentiality
Sessions are private. Neither party will disclose the content of a session to third parties without the consent of the other, except where required by law or by applicable safeguarding obligations.
Sawtooth Residencies
Sawtooth Residency programmes are not governed by these Terms and Conditions. Residency participants are accepted through a selection process and receive a separate Residency Terms and Conditions document at the appropriate stage of that process. That document governs all aspects of the residency relationship, including the production arrangement, financial model and participant obligations. The Sawtooth Residency Terms and Conditions are available on request from Sawtooth Studios Ltd.
